Calendar Entry That Is Copied/Pasted from Another User's Calendar Does not Update Free Time

Problem:
Notes does not work the same way as Office Vision. Your free time in Notes is
updated only when you create your own Calendar entry, or when you are invited
to a meeting and you accept or decline. These types of entries contain a
field called $BusyName. The $BusyName field contains name of the mail file
owner, and this value is what updates the free time system (Busytime.nsf). If
the $BusyName field does not contain the same value as that of the Mail File
Owner field in your Calendar Profile, then the free time system is not
updated. Since the $BusyName field of the document that you copied and pasted
does not contain your name, then the calendar entry will not update your free
time.

Workaround: Once you paste the entry into your calendar, open the entry, click
the Edit Document action button, then click the Save and Close action button.
The $BusyName field changes to your name when doing this. Therefore, free time
lookups will now correctly show you as busy during this time.

Lotus Quality Engineering is aware of this issue. It has been partially fixed
in Notes/Domino 4.5.6 and Notes/Domino 4.6.3. The fix is as follows:

If a user now copies a calendar entry from one mail file and pastes the entry
in the calendar view of another mail file, then the $BusyName item will be
updated; HOWEVER, the limitation is that this only works when pasting into the
Calendar view.

The issue has been fixed also in Notes/Domino 5.0.8.

Supporting Information:

To check the value in the Mail File Owner field of the Calendar Profile, open
your mail file and select Actions, Calendar Tools, Calendar Profile. The Mail
File Owner field is the first field in the profile (for example, Joe
Jones/Sales/Acme).

To check for the presence of the $BusyName field in a calendar entry, either
highlight the entry in the calendar or open the entry, and select Edit,
Properties; click the Fields tab and look for the field on the left. If the
field is present, highlight it, and its value will appear to the right (for
example, "CN=Joe Jones/OU=Sales/O=Acme").
